Meeting 2012-12-20

Summary

This was the first meeting of the Program Committee for oSC13 to discuss the agenda below:

Intro

Everyone present provided a brief intro

Tool

Matt volunteered via e-mail to the team to be the tool administrator, thus his preference has the strongest vote. After a bit of discussion Matt agreed to set up Pentabarf and [ttps://github.com/igal/openconferenceware#readme OpenConferenceWare] to compare the tools and make a final determination about the feasibility. The key concerns for the tool are:

  • Abstract submission
  • Attendee registration
  • Schedule creation
  • Schedule export

The target date to make a decision is December 27. The decision will be announced on -project and -conference mailing lists.

Tracks

We got a bit side tracked by the terms being used "tracks", "topics", and "categories" for the CfP. Eventually we managed to get on the same page and agreed on the following guiding focus areas for the CfP

  • Project & Community
    • Talks in this area focus on the openSUSE community, such a project governance, ambassador program and reports, communication etc.
  • Geeko tech
    • Talks in this area focus on openSUSE technology, including infrastructure, such as OBS, distribution scheduling and development etc.
  • openWorld
    • Talks in this area may cover topics interesting to the community at large but may not necessarily be openSUSE focused.

Robert will write a CfP draft as a proposal such that we can all collaborate on the wording. The goal is to get the CfP finalized such that we can announce shortly after the tool has been set up and is tested.

Dates

We worked backwards from the conference dates. One major obstacle is that the conference is in the summer in Greece when everyone has to content with tourist traffic. Thus, we agreed that the final program needs to be announced as early as possible (8 weeks prior to conference start) to allow those on the fence about participating to still have a chance to make travel arrangements. We gave ourselves 6 weeks to read all the abstracts, create a preliminary schedule, and follow up with speakers. This leaves a submission period of about 8 weeks, depending on how quickly we can get the tool set up and the announcement prepared.

Extras

We very briefly touched on the keynote and it was agreed that the keynote needs to be a topic for the oSC13 organization team meeting on January 14. As this topic is a lot of work it might be best if the keynote is organized outside the Program Committee.
